The internal data management has loopholes in that incase of disasters, the data may completely be lost since there are no external data back ups. With an external document management system, the data is protected of any uncertainties, which could occur within the company. For instance, the employees could mishandle the data thus subject company confidential data to unintended persons who may jeopardize the business continuity. The employees can also deliberately destroy the data.
The HR department as well as the line managers should put in place measures, which protect the company data such as monitoring employees’ behavior.
