The Disadvantages of an In-House Document Management System

An in-house data management system may offer a considerable data storage, re-duplication, protection, retrieval and recovery, though this may not offer complete document management solutions. This means that an off-site document management system is more appropriate in offering the most effective, reliable, efficient, secure and affordable services. This entails hiring an external firm to provide document management services including data storage, transportation, protection, back ups, retrieval, re-duplication and recovery.

The internal data management has loopholes in that incase of disasters, the data may completely be lost since there are no external data back ups. With an external document management system, the data is protected of any uncertainties, which could occur within the company. For instance, the employees could mishandle the data thus subject company confidential data to unintended persons who may jeopardize the business continuity. The employees can also deliberately destroy the data.

The HR department as well as the line managers should put in place measures, which protect the company data such as monitoring employees’ behavior. Moreover, the in-house data management system is expensive. It also consumes a lot of employees’ time when they are searching and retrieving information. This is because; they lack the coherent skills for comprehensive data storage, which enables easy access on the data. An external document management system provides solutions to such internal data management shortfalls.
